There are 2 types of alerts when registering employees:
- Errors: these are values that prevent the correct creation and registration of the employee on the Cobee platform, and which should be remedied.
- Warnings: those that simply suggest a review of the information, but the employee can be invited and complete their registration.
Errors that need correcting
- Invalid name: it is possible that the name contains invalid characters. To correct the error, you can edit the employee by entering their name again using valid characters: letters, space ( ), full stop (.), hyphen (-) and apostrophe (‘).
- Invalid last names: it is possible that the last names contain invalid characters. Try entering the last names again using valid characters, letters, space ( ), full stop (.), hyphen (-) and apostrophe (‘).
- Invalid email address: it is possible that the email address contains invalid characters, or that the domain is not a valid domain. To correct the error, you can edit the employee by entering the email again using valid characters, letters, numbers, full stop (.), underscore (_). Also check that you have entered the @ sign and at the domain is correct.
- Duplicate email address: this error informs us that the employee is already registered. You will have to verify on the list of employees if the employee has already been registered. If they are not found on the list of employees, the duplication must be because the employee had been registered in the past, deleted from the platform and then registered again. In this case, please contact soporteadmin@cobee.io.
- Invalid DNI/NIE: This error informs us that the DNI or NIE are incorrect. You may have entered it incorrectly or it may not be supported on the Cobee platform. Please remember that only the DNI/NIE (Spain) are valid identity documents. The passport will not be accepted.
- Invalid NIF/CC: This error shows us that the NIF or CC are incorrect. You may have entered it incorrectly or it may not be supported on the Cobee platform. Please remember that only the NIF/CC (Portugal) are valid identity documents. The passport will not be accepted.
- Duplicate DNI: this error may be due to the fact that the employee is already registered. Please verify on the list of employees if the employee has already been registered. If they are not found on the list of employees, the duplication must be because the employee had been registered in the past, deleted from the platform and then registered again. In this case, please contact soporteadmin@cobee.io.
- Invalid gross annual salary: it is possible that this field is showing an error if the employee has been uploaded via a file. To correct the error, you can edit the employee, entering the salary without full stops, commas or spaces, just using numeric characters only.
- Tax region: it is possible that this field is showing an error if the employee has been uploaded via a file. Valid values for file uploads are: GENERAL, ALA-GUI, BIZCAYA, NAVARRA. To correct the error, you can edit the employee, entering the correct value.
- Internal ID: it is possible that the internal ID contains invalid characters. To correct the error, you can edit the employee by entering their internal ID again using valid characters: letters, space ( ), full stop (.), hyphen (-).
- Cost centre: it is possible that the cost centre contains invalid characters. To correct the error, you can edit the employee by entering the cost centre again using valid characters: letters, numbers, space ( ), full stop (.), hyphen (-) and apostrophe (‘).
Warnings that need reviewing
- Salary below the Minimum Guaranteed Interprofessional Wage: the platform warns if it detects that the salary is below the minimum guaranteed interprofessional wage, as with a low salary, the employee would not be able to use the salary sacrifice. It is possible that this occurs if it is a reduced workday, in which case it should be stated. If it is due to an error, you can edit the employee, entering the correct value.
- Email address with another domain: the platform warns if it detects a domain different to the regular ones, in case there has been an error when entering the employee’s email address. If this is not the case, you can ignore it and continue with the invitation process. Otherwise, you simply have to edit the employee and amend the email field, entering the correct value.
- New cost centre: the platform informs you if it detects a new value for the cost centre. It is possible that you wish to enter a new value, therefore you simply have to ignore the warning and continue with the invitation Otherwise, you can edit the employee and amend the cost centre field, entering the correct value.
- New company: the platform warns if it detects a new value for the company field. It is possible that you wish to enter a new value, and therefore you simply have to ignore the warning and continue with the invitation. Otherwise, you can edit the employee, amend the company field, and enter the correct value.
